Outgoing Campaign Stuck in Scheduled Status

We're having a problem with an outgoing campaign.

We set up our campaign,

Minnesota 1k Leads 20251001 Campaign ID="b4b0dff6-38c5-4244-a507-d40925210dfc", to send immediately. However, it is still stuck in "scheduled" status and has not been sent. We have confirmed that there are no other outgoing campaigns currently running.

This is a recurring issue. I also sent a message about this in the Discord office hours but did not get a response. Please see attached pictures.

Could you please fix this and get the campaign running? We also need to know why this keeps happening so we can prevent it in the future.

To attempt to resolve your campaign being stuck in "scheduled" status, try ending the campaign via the API:

If this does not resolve the issue, you may need to delete and recreate the campaign. This is a known intermittent problem without a definitive fix, often related to platform or configuration issues (Vapi API docs).

If you're setting up or managing an outbound campaign, here’s a quick guide to the setup process using the Vapi Dashboard:

Campaign Configuration: Set the campaign name and type.
Phone Number Selection: Choose outbound phone numbers (Twilio is recommended).
Recipient Management: Upload recipients via a CSV file. Ensure phone numbers are in E.164 format (e.g., +14151234567+14151234567).
Assistant Selection: Select an assistant to handle the calls.
Review & Execute: Review the campaign details and initiate or schedule the calls.

For detailed instructions, you can refer to the documentation. If you're experiencing issues with a campaign being stuck in "Scheduled" status, check your overall system concurrency and number of scheduled calls. For quick troubleshooting, verify your concurrency limits and ensure your CSV data is correctly formatted. If problems persist with calls not proceeding as expected, reviewing your telephony provider's limits might also be necessary.

We apologize for the delay in response. Our team is continuing to work on this issue and while we have made some progress on it, a solution has yet to be implemented for it. We have some workarounds and some suggestions to avoid hitting concurrency limit errors:

if you receive the over concurrency limit error, you can send your org id to us and we will free up the lines
alternatively, you can use the `phone number` page to initiate outbound campaigns. the only difference is that the calls happen one at a time as opposed to filling your concurrency lines to the maximum value allowed.

Go to the Phone Numbers page.
Click the phone number you want to place calls from.
Scroll to the Outbound section.
Choose Call many numbers (upload CSV).
Select the Assistant / Squad / Workflow you want to use.
Upload your CSV file of phone numbers.
Click Make calls (to start now) or Schedule calls (to run later).

Note: This method dials one number at a time from your CSV until all numbers are completed.

ahhh, this is the issue i am having perhapes?

Building a calling bot, it was working ok, but not now ....

I am encountering a “Over Concurrency Limit” error when I attempt to test my assistant using a test agent. This occurs even though:
I am not placing any real calls (using a test agent).
The dashboard call logs show no active, pending, or stuck calls.
The error persists even after waiting several minutes and refreshing the dashboard.
It was working, now it isn't.

Suspect vapi platform issue, historical call logs and campaigns have disappeared too. Any help hugely gratefully received

hello - my concurrency limit is stuck. i know that i only have 1 call going out- no others are active. can you clear this for me so i can get started on calls again

I sincerely apologize for the delayed response to your support request.
We implemented better tracking for support tickets to ensure timely responses going forward, but due to a technical limitation, this only applies to tickets created after this past week.

This should still allow you to have extra variable columns as long as the variables are called with curly braces in your prompt
